Terms and Conditions

Effective date: Enter the date this updated policy is published.

Welcome to The Submitters Collective (“we,” “us,” or “our”). These Terms and Conditions govern your use of our website, donation features, accounts, application forms, and submission services.

By using these services, you agree to these Terms. If you do not agree, please do not use them.

1. Use of Our Website

You may use this website only for lawful purposes.

You agree not to:

  • Submit false, fraudulent, misleading, or unauthorized information.

  • Access another person’s account, application, documents, or payment information without authorization.

  • Interfere with website security or operation.

  • Upload malicious software, harmful code, or files you are not authorized to provide.

  • Harass others or submit content that violates their rights.

We may restrict access or remove content when reasonably necessary to address misuse, protect users, or comply with applicable law.

2. Donations

You may donate through the payment methods currently offered on our website.

Before authorizing a payment, review the amount, recipient, payment method, and any selected contribution toward processing fees. You confirm that you are authorized to use the payment method.

Unless we expressly accept a restricted donation, contributions support our organizational mission and activities. Contact us before donating if you require a legally binding restriction on how your contribution is used.

Submitting a donation order does not, by itself, establish that payment has been received.

3. Payment Providers and External Payments

Payments may be handled by banks and third-party services, including PayPal, Venmo, Stripe-supported methods, Zelle, Cash App, and other methods displayed at checkout.

Availability may vary by device, location, account eligibility, and provider requirements. Providers may require you to sign in, verify your identity, or authorize payment within their own website or application.

Their services are governed by their own terms, privacy policies, and fees. We do not request your payment-provider password, PIN, or verification codes.

Verify the recipient and amount before authorizing an external payment.

4. Zelle, Cash App, and Other Manually Verified Payments

For manually verified payment methods, our website records a donation order and provides payment instructions.

Creating an order, scanning a QR code, opening a payment application, or viewing an acknowledgment does not mean that a payment has been completed or received.

Please include your donation reference number in the payment memo or note when instructed. This helps us match the incoming payment to your donation order.

Your order may remain pending or on hold until we verify receipt of funds. An initial order acknowledgment is not confirmation of a paid donation. If you have already sent payment, do not send it again merely because confirmation is pending.

If the amount, reference, or sender information does not match our records, we may need additional information to reconcile the payment. Contact support@submitterscollective.org if you need help.

5. Recurring Donations

Recurring donations are available only when expressly offered and selected.

If you choose a recurring donation, you authorize the applicable provider to process payments for the amount and frequency shown when you authorize the arrangement.

You may manage or cancel the arrangement through the applicable provider, where supported, or contact support@submitterscollective.org for assistance. Cancellation generally applies to future payments and does not automatically refund payments already processed.

A one-time donation does not authorize recurring charges.

6. Refunds and Payment Errors

Donations are generally final, subject to applicable law and review of payment errors or other circumstances.

If you believe a payment was duplicated, made in error, or unauthorized, contact support@submitterscollective.orgpromptly. Provide the donation reference, date, amount, and payment method. Do not send passwords, verification codes, or full payment-card details.

We review requests individually. Refund availability and timing may depend on applicable law, the payment method, and the provider’s procedures.

Nothing in these Terms limits rights you may have under applicable law or your payment provider’s dispute procedures.

7. Acknowledgments and Tax Information

We may provide donation acknowledgments and payment confirmations using the contact information available to us. If you donate without providing an email address, contact us if you need assistance obtaining an acknowledgment.

An acknowledgment of an unpaid order is not evidence that funds were received.

These Terms do not represent that every contribution is tax-deductible. Tax treatment depends on applicable law, the organization’s qualifying status, and the donor’s circumstances. We do not provide individual tax advice.

8. Donor Leaderboard and Public Recognition

Where offered, you may choose to appear publicly using your name, an alias, or an anonymous designation.

For the manual donation flow, anonymous recognition is the default unless you save another choice. Public recognition is separate from creating a website account.

A public leaderboard may display your selected identity together with a donation amount, amount range, ranking, or donation period, as indicated by the feature. Choosing an alias does not make your transaction anonymous to us, your bank, or the payment provider.

Public totals and rankings may change as payments are verified, refunds are processed, and records are corrected. Pending or unpaid orders do not represent received funds.

To request a correction or removal of your public identity, contact support@submitterscollective.org. Removing public recognition does not require deletion of financial records we must retain.

9. Accounts

Some donations may be made without a website account. Other features, including assistance applications or access to private records, may require registration and email verification.

You are responsible for providing accurate information, protecting your login credentials, and notifying us of suspected unauthorized access.

Account creation does not automatically connect every past donation to your account. We may require verification before linking donations or disclosing private records.

You may request account closure by contacting support@submitterscollective.org. We may retain records needed for financial, legal, security, or application-administration purposes, as explained in our Privacy Policy.

10. Requests for Assistance

Submitting an assistance application does not guarantee approval, payment, a particular amount, or a response within a specific period.

Decisions depend on eligibility, available resources, verification, and our review process.

You must provide truthful information and the required supporting documents. Where identity and address verification are required, documents must support the information in your application. If your identification does not show your current address, contact us about acceptable supporting documentation.

Larger requests and eviction-relief requests may require further verification, additional documents, and follow-up before a decision is made. We may request clarification for any application when reasonably necessary.

Status labels such as “Submitted,” “Under Review,” or “More Information Needed” do not constitute approval. Any approval or assistance commitment will be communicated separately.

Our website is not an emergency-response service. Do not rely on an application submission to meet an immediate emergency or legal deadline.

11. Uploaded Documents and Private Submissions

Upload only documents you are authorized to provide and that are relevant to your request. Follow the file-type, size, and quantity limits shown on the form.

Do not include unnecessary sensitive information. Do not submit payment-provider credentials, account passwords, or verification codes.

Assistance applications, identity documents, and private volunteer submissions are not submitted for public publication. Their handling is described in our Privacy Policy.

We may reject files that are invalid, unsupported, suspicious, or unsuitable for review. Acceptance of a file does not certify its authenticity or guarantee that it is free of harmful content.

12. Volunteer and Join-the-Team Requests

Submitting a volunteer or join-the-team form does not guarantee acceptance, placement, employment, compensation, or a particular role.

Any assignment, responsibilities, screening requirements, or separate agreement will be communicated before participation.

13. Letters, Testimonials, and Other Public Content

When a form clearly identifies a submission as public—such as a letter or testimonial—you authorize us to display that submission with the public identity you select.

You retain ownership of your content. You grant us a nonexclusive, royalty-free permission to host, format, and display it for the website feature through which it was submitted.

You must have permission to share any personal information or material belonging to another person. Do not include private identity documents or confidential application details in public submissions.

We may review, decline, or remove content that is unlawful, abusive, misleading, promotional spam, or inconsistent with the feature’s purpose. Publication does not imply our endorsement of every statement.

You may request removal by contacting support@submitterscollective.org. We cannot guarantee removal of copies independently retained by other people or third-party services.

Private messages and assistance applications do not become public testimonials merely because they were submitted to us.

14. Intellectual Property

Unless otherwise stated, website materials are owned by or licensed to The Submitters Collective or their identified rights holders.

You may view and use them for personal, lawful purposes. Reproduction, distribution, modification, or commercial use requires permission where applicable, except as allowed by law or an expressly stated license.

15. Privacy and Communications

Our Privacy Policy explains how we handle personal information.

We may send communications needed to administer donations, accounts, verification, applications, and submitted requests. These communications are separate from any optional marketing subscription.

16. Availability and Third-Party Services

We make reasonable efforts to maintain the website but do not guarantee uninterrupted, error-free, or completely secure operation.

Third-party websites, payment applications, and services may operate independently of us. We are not responsible for their availability or practices to the extent permitted by applicable law.

17. Limitation of Liability

To the extent permitted by applicable law, The Submitters Collective and its representatives will not be liable for indirect, incidental, special, or consequential damages arising from use of the website.

Nothing in these Terms excludes liability or limits rights that cannot lawfully be excluded or limited.

18. Changes to These Terms

We may update these Terms as our services change. The revised version will identify its effective date.

Where required by law, or where a change requires renewed consent, we will provide additional notice or request consent. Changes do not automatically create new payment authorizations or permit new uses of previously submitted private information.

19. Applicable Law

These Terms are subject to applicable law. Nothing in them removes mandatory rights or protections available to you.
